FRONT DESK & VERIFICATION TEAMS

Get the benefits details. Keep your day moving.

When a portal leaves a question unanswered, the next step is often a phone call. Give your assistant the patient details, the planned service, and the questions your team needs answered. It works the phone menu, waits on hold, and records what the representative says.

A BRIEF THAT SETS THE CALL UP

What to have ready

  • Patient identity and member ID from your authorized records
  • Plan name, provider-service number, and intended service date
  • Rendering provider and the service or procedure to ask about
  • The exact benefits questions and when staff should join

THE WORK BEHIND THE CALL

The appointment is coming up. The coverage question is still open.

Eligibility work is rarely just an active-or-inactive answer. Your team may need to clarify network status, a service-specific benefit, a referral requirement, or a remaining deductible. One missing detail can mean another call. A specific brief keeps the conversation focused and gives the next staff member a usable record.

THE CONVERSATION

Questions worth
getting answered.

  1. 01

Is coverage active for the intended date of service?

  2. 02

What copay, coinsurance, and deductible information applies to this service?

  3. 03

Does the service require a referral or prior authorization?

  4. 04

Is the rendering provider in network for this particular plan?

  5. 05

What is the representative’s name and the call reference number?

THE HANDOFF

What your team
gets back.

  • Coverage and effective dates reported by the payer
  • Service-specific benefits and any missing answers
  • Referral, authorization, or network exceptions
  • Representative, reference number, and next step

A benefits quote is not a guarantee of payment. Your team reviews the payer’s answers and resolves conflicting or incomplete information before relying on it.

A few more details.

Insurance verification
Does this replace a payer portal or electronic eligibility check?

Use the channel that answers the question reliably. DialClerk is designed for phone follow-up when a portal or existing eligibility workflow leaves something unresolved. Direct EDI and EHR integrations are not currently included.

Can we run verification calls for more than one patient?

The office workflow supports worklists: one task template with multiple patient rows. Each row keeps its own call, answers, and exceptions. Available calling capacity is configured for the office.

What happens if the representative needs more information?

Choose a call mode that brings staff in when needed. The assistant can contact the designated staff member, provide a private briefing, and connect them after they are ready.
